Supplementary Plan for Maintaining Website Accessibility
Testing and Remediation Protocols
West Fargo Public Schools (WFPS) will implement a comprehensive, ongoing web accessibility testing and remediation process to ensure compliance with the W3C Web Content Accessibility Guidelines (WCAG) 2.1, Level AA:
- Periodic Testing: Quarterly reviews will be conducted by the web services team to ensure content meets accessibility standards. Webpages will be manually tested for keyboard navigation, screen reader compatibility, and color contrast. The district will also utilize reports from AudioEye, a tool embedded in the district’s website platform for monitoring and ensuring the appropriate accessibility levels are maintained.
- Remediation Protocol: If issues are identified, a clear remediation timeline will be set, not exceeding 10 working days. Pages or content that fail to meet accessibility standards will be taken offline or flagged for immediate correction. The web services team will collaborate with the responsible department to bring the content into compliance.
Procurement Protocols
All procurement documents with third-party vendors that provide digital tools or content will include specific language requiring WCAG 2.1 Level AA compliance. This will include provisions for regular testing, remediation, and assurances that vendors provide accessible platforms or content.
Staff Training
WFPS will ensure all staff involved in the creation, development, procurement, and maintenance of digital content are knowledgeable in accessibility standards through training:
- Web Editor Training: All staff responsible for maintaining web content will be given detailed guidelines and instructional resources on how to create and publish accessible content, including proper use of alt text, closed captions, and document formatting.
- Annual Accessibility Training: All web editors and procurement officials will be required to demonstrate their knowledge of accessibility standards annually. If competency cannot be shown, training will be administered to refresh the staff member on accessibility standards, testing methods, and remediation techniques. Accessibility training will continue to be part of the training given to all website editors.
Designations of Responsibility
To streamline accountability and ensure successful implementation of the district's accessibility efforts, WFPS has designated the responsibilities related to accessibility as follows:
- Director of Health, Safety, and Public Relations: This individual will serve as the point of contact for all accessibility-related complaints and grievances. They will be responsible for investigating and addressing reported issues, ensuring timely remediation, and keeping records of all accessibility-related complaints.
- Web Services Team: The web services team will manage the ongoing testing and remediation of district web content. They will also oversee accessibility audits and the technical aspects of web compliance.
Funding
A portion of the district’s annual web development budget will be allocated each year to support web accessibility initiatives, including testing, remediation, and staff training.
